General Rotation Information (contacting preceptors, grading, absences, jury duty, etc)
1. How far in advance should I contact my preceptors?
Generally, we recommend calling two (2) weeks prior to start of rotation. You may wish to call earlier for certain cycles, like cycle 7, which begins immediately following the winter holidays/break (preceptors may be on vacation in the weeks preceeding the rotation and be difficult to contact--plan ahead!). For cycles where you are asking for a change in schedule (for example, you are not going to ASHP Midyear and wish to not take that week off) we recommend contacting your preceptor at the beginning of the cycle prior to when you are scheduled to discuss the matter (e.g. for the given example, would call at beginning of cycle 5 for a request for cycle 6).
2. My rotation contains a religious holiday or a "minor holiday" (e.g. Columbus Day, President's Day, etc)--am I off that day?
You must speak to your preceptor regarding any holidays not expressly mentioned in the rotation schedule ( Schedule of Rotation Cycles Class 2008 ). It is up to your preceptor whether you will be required to attend rotation on any holiday other than those officially recognized/observed by the University or have an excused absence (and whether that absence must be made up). You should ask your preceptor about any holidays falling within your rotation period when you initially call them two (2) weeks prior to your scheduled cycle.
3. How do I request a switch of rotations or to pick up an "extra" elective?
You should email Marta (and cc Dr. Pfeiffer) with all requests. Please keep requests reasonable. If you drop or add a rotation, you MUST contact Jeannette Decker (732-445-2675 x609) or the University registrar to drop or add that cycle (it will not be done automatically). You must also take care of any tuition related issues through Mrs. Decker or the registrar's office, not Marta or Dr. Pfeiffer.
4. I received a summons for jury duty, what do I do?
We can attempt to secure a delay in your jury duty assignment. You must fax the summons to the Dean's office (732-445-5767) immediately upon your receipt of the summons (due to generally short deadlines). Dean Woodward will then prepare a letter for you to include with your summons when you return it to the courthouse (ie. mail it back). It is up to the judge to accept or deny the request. If your request for delay is denied, you will be excused from rotation for the duration of your jury duty commitment, but will have to make up the time if it is more than 1 day (or if you have significant absences from other rotations requiring that you make up the hours).
5. Why don't my grades appear on my transcript as soon as I finish a rotation?
The University updates the official transcripts three times per year, at the end of summer, fall and spring semesters. Even though your preceptor has submitted your grade to us and we have recorded it, it will not appear on the official transcript until the University updates it (for summer that means after cycle 3, for fall after cycle 6, for spring after cycle 9). Please DO NOT call us to see if your grades have been submitted--we contact preceptors who are delinquent in submitting grades automatically and repeated phone calls to Marta by you do not speed up the process.
1. I have finished my rotations as of cycle 8, can I sit for the boards at this time?
Yes, you may sit for the boards prior to graduation; however, we need to certify your hours to the NJ Board of Pharmacy. A letter for all students finishing their requirements (ie. last rotation cycle 8) will be generated by us AS GRADES ARE AVAILABLE. We will NOT be able to certify hours until at least one week (7 days) after completion of cycle 8 due to the time it takes to get grades submitted to us and for us to generate the letters. For those finishing cycle 9, the same process will occur after completion of that cycle. PLEASE BE PATIENT. The Board used to make you wait until graduation--this is a new privilege they have extended to you and you must realize that this takes a lot of work on our part to accomodate and we cannot grant requests immediately!
Other Boards of Pharmacy outside of NJ have their own rules, so you must contact the individual board to determine if they will allow you to sit for the NAPLEX prior to graduation. A list of BOP contact info is available at National Boards of Pharmacy List.
2. What do I need to do to register for the NAPLEX and get licensed in NJ?

3. I am planning on becoming licensed in another state--what are their requirements?
It is your responsibility to contact the Board of Pharmacy in the state in which you plan to become licensed. Contact information for state BOPs is found at National Boards of Pharmacy List . State BOP rules change frequently;, therefore, you should contact the appropriate BOP yourself to assure accurate information. Please contact them as soon as possible so you can make appropriate arrangements if their requirements are different than NJ.
4. The state I plan to be licensed in requires more than 1400 hours, what do I do?
You should speak to the Board of Pharmacy in question to assure they accept hours obtained during rotations (ie. as part of the pharmacy curriculum); some boards require at least part of the hours be earned outside of school. They can also tell you how to register as an intern in their state if necessary and if any of your employment hours count.
You may use your "off" cycles to take an additional rotation(s) to earn another 200-400 hours (for a total of 1600-2000) if the BOP will accept hours earned during rotations. YOU CANNOT COMPLETE JUST 100 hours (ie. take "part" of a rotation) to reach the 1500 that some boards require--we don't offer partial rotations and the BOP will not accept hours not eventually documented on your transcript with a grade.

You will also be receiving emails from the Dean's office as information becomes available and as you need it--please check your eden accounts (or whatever email you have designated to the University as preferred) regularly..
1. How do I change my address or email in PEMS?
You should use the change address function in PEMS and Marta will make the requested change. Changes are not made instantaneously, so be patient. You may also email the rotation email with the requested changes or Marta directly.
2. I have a preceptor assigned in PEMS but underneath their name it says "unassigned"--what does that mean?
This happens when a preceptor has multiple sites where they work. Marta will tell you what site you are assigned to.
3. I forgot my password, what do I do?
Email Marta from your eden account email and she will reset your password. Please make a note of your password or pick something easy for you to remember. Marta will only reset passwords if emailed from your eden account (so she can confirm you are generating the request).
4. I need to get my preceptor's email, phone number, or address, how do I find that information?
All you need to do is click on the preceptor's name and their work email, phone, and address will be provided to you. Preceptors without an email have not provided one for student use.
